Marketing Coordinator (Syracuse, NY)
Bousquet Holstein PLLC is seeking a full-time Marketing Coordinator who will work in our Syracuse office. The Marketing Coordinator will play a crucial role in supporting all aspects of the firm’s marketing, communications, and business development efforts. The Coordinator requires strong marketing instincts, a result-oriented mindset, and the highest standards for accuracy and detail. This position works directly with the Director of Marketing in a fast-paced, ambitious Marketing Department.
Salary Range: $55,000-$62,000
Key Responsibilities:
Administrative Support:
- Provide administrative support to the Marketing Department, including managing calendars, scheduling meetings, forwarding incoming leads to the appropriate attorneys, and handling correspondence.
- Assist in preparing marketing reports, presentations, and materials as needed.
- Collaborate with attorneys for scheduling and gathering marketing materials.
- Attend marketing meetings, take notes, and manage follow-up with attorneys when needed.
- Collect data monthly from marketing campaigns, intake, Google Analytics, and social media to inform marketing decisions and strategies.
- Overall administrative support for the department includes preparing cash disbursement forms, filing, maintaining inventory of promotional items and collateral, ordering marketing supplies, scheduling meetings, and printing and scanning needs.
- Manage marketing supplies and promotional inventory
Content and Communications:
- Assist with internal communications.
- Manage content and brand assets.
- Draft and publish content across multimedia publications and platforms.
Event Coordination:
- Coordinate firm events, including seminars, webinars, happy hours, meet and greets, business development meetings, and other internal/external events.
- Coordinate logistics such as venue, catering, invitations, RSVPs, nametags, and promotional materials.
- Must be able to work flexible hours when needed.
Digital Marketing:
- Assist with the maintenance of the firm website content and manage frequent updates using the site’s WordPress CMS Dashboard.
- Assist in coordinating email marketing campaigns, including creating and distributing internal and external communications.
- Help to maintain our firm’s social media accounts, including creating content, taking photos, scheduling posts, engaging with followers, and monitoring analytics.
- Assist in creating and editing marketing content, such as brochures, flyers, and presentations.
- Collaborate with the Marketing team and attorneys to develop compelling content for blogs, articles, and press releases.
- Assist with designing ads for social media and community sponsorships.
Data Management:
- Manage the marketing department’s client and contact database in both internal CMS and Time & Billing programs and Constant Contact mailing program.
- Work with attorneys and practice areas to keep all database lists current and accurate.
Qualifications:
- 4-year college degree in Marketing, Communications, Public Relations, Journalism or related field, or the equivalent in work experience.
- 3-5 years of experience in marketing or related roles. Law firm experience is a plus but not required.
- Highly organized with a keen eye for detail.
- Proficiency in Microsoft Office Suite, Canva, Facebook, LinkedIn, and Instagram, Google Analytics, Constant Contact or similar email programs, and other marketing platforms.
- Self-starter with the ability to multitask, prioritize, and work efficiently in a fast-paced environment. Must be resourceful and proactive in taking on projects and maintaining active communication.

Administrative Assistant, Litigation (Syracuse, NY)

Primary Responsibilities
The Administrative Assistant will provide litigation and administrative support to attorneys handling a wide range of matters, including trust and estate litigation, labor and employment disputes, and commercial and corporate litigation. Responsibilities include:
- Assisting attorneys in the Litigation Practice Group with all phases of litigation matters.
- Assisting with case file management, ensuring accurate and timely documentation of all relevant information and correspondence.
- Preparing, formatting, proofreading, and revising legal documents, including pleadings, motions, petitions, discovery requests, correspondence, and settlement agreements.
- Preparing and filing documents with state and federal courts, including electronic filings.
- Coordinating and scheduling depositions, hearings, meetings, and other court-related proceedings.
- Maintaining calendars and monitoring deadlines to help ensure timely case management.
- Providing administrative support, including answering telephone calls, managing correspondence, and communicating professionally with clients, and courts.
- Collaborating effectively with attorneys, paralegals, and administrative staff to support the efficient delivery of legal services.

Qualifications
- Minimum of two years of experience as a Legal Secretary, Administrative Assistant, or similar legal support professional, preferably in a litigation practice.

Real Estate Paralegal (Syracuse, NY)

Primary Responsibilities:
- Assist with and manage commercial and residential real estate transactions on a day-to-day basis, from inception to completion
- Prepare, draft, and edit typical commercial real estate transaction documents, including mortgages, leases, deeds, assignments, releases, title affidavits, transfer forms, related corporate authorization documents, and post-closing documents, including closing binders
- Review abstracts of title and complete title reports/commitments for review with attorneys
- Coordinate and resolve issues with title companies, surveyors, lenders, real estate agents, and transaction parties
- Analyze and interpret real property due diligence materials, records, and documents, including appraisals, surveys, abstracts of title, judgment and lien searches, and tax records
- Analyze and interpret entity due diligence materials, records, and documents, including LLC operating agreements, corporation bylaws, trust documents, entity certificates, and other records
- Assist with estate planning real estate conveyances, such as conveyances to irrevocable and revocable trusts
Requirements:
- Prior real estate transaction experience
- Prior commercial lending experience
- Ability to multi-task and adjust to changing work priorities on an as-needed basis
- Possess good organizational skills, judgment, and ability to prioritize work and meet deadlines
- Professional, courteous, attentive to detail, and delivery of high quality client service
