Administrative Assistant/Immigration Paralegal (Syracuse, NY)

We are seeking a dynamic and organized Administrative Assistant/Immigration Paralegal to join our team. This position plays a crucial role in client communication, case management, document organization and processing, and various other administrative tasks. The ideal candidate will be a great team player and possess excellent communication and organizational abilities, interpersonal and intercultural skills, and a passion for promoting our immigration practice.

Responsibilities:

Client and Case Management:

  • Respond to prospective clients’ calls and conduct intakes; collect information and documentation from clients, including initial screening of “cold calls” and client referrals.
  • Actively engage with individuals who inquire about our immigration services; prepare and send follow-up emails to existing and potential clients, as appropriate.
  • Prioritize and determine appropriate course of action, exercising judgement; access to internal/external information of a highly confidential nature.
  • Coordinate conferences, meetings and appointments for attorneys and clients, including conference room scheduling, Zoom scheduling, and preparation of materials.
  • Work closely with attorneys keeping them informed of upcoming commitments and responsibilities.
  • Demonstrate understanding of our services and showcase commitment to addressing client immigration needs.
  • Maintain clear lines of communication between the clients and the firm to instill confidence and reliability.
  • Update and maintain the client case tracker, ensuring accuracy and completeness.
  • On-going relationship building with external clients.

Document Preparation and Organization:

  • Assist in the preparation of electronic and physical copies of immigration petitions.
  • Draft, proofread, send, file and manage correspondence, memos, forms, letters, indices and other related documents.
  • Maintain a comprehensive and organized system for storing and cataloging petition documentation.
  • Manage the docketing of immigration cases requiring renewal, ensuring timely preparation and filing of renewal petitions.
  • Coordinate the timely submission of petitions to the USCIS.
  • Provide timely updates to clients regarding the status of their cases.

Client Engagement Documentation:

  • Draft engagement letters for new clients and matters.
  • Collect and provide information necessary to conduct conflict checks.
  • Open new client matters.
  • Manage the ShareFile account opening for secure document storage and accessibility.

Billing Assistance:

  • Review and edit prebills for accuracy and adherence to billing guidelines.
  • Respond to client inquiries regarding billing and collaborate with the billing department.
  • Coordinate with attorney and billing department on collections for outstanding invoices.

Other Administrative Tasks:

  • Evaluate and assist in developing procedures for improved workflow and anticipate future needs as the practice group grows.
  • Create professional PowerPoint presentations for meetings and presentations.
  • Conduct a comprehensive review of the client and holiday card lists; update the lists with any new clients, contacts, or changes in information.
  • Complete a wide range of administrative tasks that facilitate the attorney’s ability to effectively service clients.

Qualifications:

  • Prior administrative assistant and/or paralegal experience.
  • Professional approach to work with focus on client service; strong indicators include excellent communications skills, attention to detail, and initiative to complete tasks independently.
  • Ability to multi-task and adjust to changing work priorities on an as-needed basis.
  • Possess good organizational skills, judgment, and ability to prioritize work and meet deadlines.
  • Strong interpersonal skills, including the ability to professionally communicate with governmental and other organizations, as well as with clients of diverse cultural and language backgrounds.

Real Estate Associate (Syracuse, NY)

Bousquet Holstein PLLC seeks an associate attorney to work on real estate matters in our Syracuse office.  The ideal candidate should be organized, detail oriented, and able to function effectively in a team-oriented environment.  The ideal candidate will possess excellent written and verbal communication skills.

Qualifications

The ideal candidate will have:

  • Admission to practice law in New York State (or eligibility to waive into NYS);
  • Between 2 and 7 years of real estate law experience;
  • Experience with commercial and residential real estate sales, purchases, and financed transactions, including experience negotiating contracts, reviewing due diligence materials, finalizing conveyance documents, and completing closings;
  • Experience with commercial and residential leasing, including experience negotiating lease terms and conditions, and working on the enforcement of leases, such as writing and responding to demands concerning rent, maintenance, and other typical landlord and tenant matters; and
  • The ability to effectively conduct, analyze, and explain legal research, including experience with electronic research, writing memoranda, and developing legal strategies based on research.

In addition, experience or interest in the following is a plus:

  • Working with institutional lenders, including advising on and writing loan documents, such as notes, mortgages, assignments of leases, and other typical lending documents;
  • Reviewing real property title documents, such as abstracts of title and surveys, and preparing title insurance commitments and policies, as well as reviewing proposed title insurance commitments from other transaction parties;
  • Preparing for and completing the enforcement of leases in Landlord and Tenant Court and NYS Supreme Court;
  • Assisting or leading real property litigation matters, such as boundary line disputes, contract breaches, homeowners’ association disputes, trespass matters, and disputes between real property co-owners;
  • Advising on and preparing zoning and other land use applications, such as site plan applications, variances, and other applications to municipalities;
  • Working with or forming homeowners’ associations or condominiums, including experience with CPS-7 and offering plan applications to the NYS Attorney General, reviewing and advising on HOA or condominium declarations or other governing documents, and experience enforcing or defending against restrictive covenants in HOA and condominium communities; and
  • Assisting with the formation of New York State entities, such as LLCs and business corporations, and experience writing or reviewing business governing documents, such as LLC operating agreements.

Duties

The Real Estate Associate duties include working with the attorney and paralegal teams at Bousquet Holstein to: (a) prepare, review, and organize real estate transaction documents, including conveyance, title, lending, and security documents, for conveyances and leases, as well as completing transaction closings; (b) research real estate legal questions and assist in developing legal strategies to address the needs of clients; (c) prepare for and complete real estate litigation matters, which may include occasional court appearances; and (d) prepare for and complete zoning and other land use applications, which may include submissions to and appearances before municipal boards.

Tax and Development Finance Attorney (Syracuse, NY)

Bousquet Holstein, PLLC, a mid-sized law firm with offices in Syracuse and Ithaca, NY with a variety of local, regional, national, and international clients, is seeking to hire an attorney experienced in federal taxation and in ownership and equity structures for business transactions and real estate development projects, including federal and New York State tax credit transactions.
